  • At the latest September 17th

How do we know when to close our pool for the season?

  • When average daily temperatures drop below the 80’s
  • Pool use drops to the point it’s no longer an actively used amenity

Special Rules for First Term Move-Outs: Tax Credit & Rural Development ‘Combined Communities’

moving truckFor communities that have both Rural Development Funding and Low Income Housing Tax Credits, if the tenant moves out before the expiration of the initial one year lease we are to charge rent through the end of the lease. This allows us to stay in compliance with the Low Income Housing Tax Credit program which restricts transient use of the premises, though the concept of ‘continued responsibility’ beyond the move-out date does potentially run contrary to Rural Development’s policies on move-out rights of the occupant.

After the initial lease term, the resident of such a property can give notice-to-vacate at anytime and we must accept that notice without exception. Specifically, no lease buy-out fee can apply and the resident cannot be held beyond their 30 day notice.

All pools should be open by May 24th at the latest

If you haven’t already opened your pool, make sure to get it ready for residents to enjoy by Friday, May 24th at the very latest.

life preserverPlease assess your pool in the following particulars:

  • Do you have the appropriate safety signs?
  • Do you have the appropriate safety equipment (life rings, ‘the hook’, etc)?
  • Does your pool gate automatically close and latch securely?
  • Can you lock your pool gate each evening with an efficient lock and chain or similar arrangement?
  • Do you have a functioning filter?
  • Do you have a functioning Kreepy Crawler?
  • Is your pool furniture in good shape?

Mileage Reimbursement Rate Update

C021 XX 04-13  Mileage RecordEffective May 1st, 2013 Cambridge will be reimbursing mileage for work related travel at 56.5 cents per mile, which is the IRS Standard Mileage Rate for 2013 and an increase from the old rate of 51 cents per mile.

This change is reflected on the Mileage Record found on eforms #C021 so be sure to print off the updated form for any mileage recorded on or after May 1st.

BBQ and Grill Policy Flyer

gas-grillIt’s getting to be that time of year when our residents get the Grillin’ Fever.  Although most residents are aware of our policies there may be a few that are unsure what types of barbecues and grills are allowed or not, and what type of propane they should have attached to those grills.

We have created a flyer that you can print off for distribution to residents and post in common areas for visibility. This will be a helpful reminder to residents so (fingers crossed) we don’t have to distribute as many patio violations.

This flyer has been created in color, however, it also prints well in black & white. Please contact your supervisor with any questions regarding these policies.

Answering Machine Script

PhonePlease take a moment to review your answering machine message that any incoming callers may hear.  The following components must be included in the message:

  • name of the apartment community
  • both after hours maintenance and management pager numbers
  • office hours

Make sure to record this message slowly and clearly so callers get all the information they need.  If you are unsure what to say , here is a basic script for your reference:

“You have reached the Happy Valley Apartments!  If you are a current resident and you are experiencing a life threating emergency please hang up and dial 911.  For other after hours maintenance emergencies please page our 24 hour response number at 800-555-1234.  For after hours management emergencies please page 800-555-7755.  If you are calling to learn more about our wonderful one and two bedroom apartment homes, please leave us your name and telephone number so we can call you back promptly!  Our office is open weekdays from 9am until 6pm and on weekends from 11am until 5pm.  We look forward to speaking with you and thank you again for calling Happy Valley Apartments!”

Spring Clean-Up Has Begun!

truckee pines spring clean upThe Community Spring Clean-Up is happening throughout our communities!  We hope you are all getting some good participation from your residents and those dumpsters are filling up.

Great job to the management at Truckee Pines getting their residents to buy into this program!  This dumpster was only in the parking lot for one day and is already overflowing!

Spring Community Clean-Up!

dumpsterWe are excited about the Spring Cleaning that will be hosted at all communities between April 11th-15th.  In the  past we have hosted this community clean-up over  Memorial Day weekend, but would like to get a head start on Spring Cleaning this year.

All sites should have received a packet in their mail last week as well as an email about the company-wide upcoming Spring Community Clean-Up.

Here are the documents that were sent out in case you need a copy:

Management staff should have the order placed for  their drop box(es) and be communicating with residents to build interest.
