Chemical Product Scam

We’re starting to receive comments from sites regarding Septic Solutions or similar companies. These companies are sending unauthorized packages to sites containing chemical products. Please keep the following in mind…

  • Beware of packages arriving at your site office
  • Beware of ad solicitations that look like invoices
  • Invoices appear to be authentic by using familiar logos and names of local directories
  • By signing or paying these will often times lock you into a contract
  • Cashing checks from these companies can enroll you into a commitment and they can be difficult to challenge
  • Often times they will call asking to speak to someone in charge. By simply confirming your address could lock you into some type of commitment

Please keep these tips in mind should you ever receive anything similar to the above.  If you’re unsure or have any questions, please consult with your supervisor before making any commitments.

All resident access for pools

As a friendly reminder, if your site has a pool, all residents, no matter what age, have every right to enjoy the pool during all open hours of operation.  Any enforcement of any rules or policies other than those that are clearly noted on the pool rules sign in the pool area are strictly prohibited.

Holiday Firework Safety & Fire Prevention

In an effort to keep all of our residents safe, Cambridge properties do not allow fireworks on community grounds. If residents are looking for a place to set off fireworks, please advise them to check out nearby parks or public spaces. Many communities offer public gathering areas where folks can safely set off or view fireworks.  Thank you!

4th of July Holiday

To All Site Management personnel: Please read this carefully and let us know if you have any questions.

The 4th of July Holiday falls on a Tuesday this year. Offices will be closed Tuesday, July 4th in observance of the holiday.

If an employee’s regularly scheduled day off is Tuesday, another day during the same pay period should be taken as the holiday.

 Reminder, the timely depositing of rents during the July 4th weekend is of critical importance.  Managers should schedule office hours and vacations with that in mind.   Please also note that with the holiday occurring on a Tuesday, every effort should be made to minimize the closing of properties for three consecutive days.

If your property assesses late fees for any payment not received by the close of business on the 4th day of the month, we recommend that an early arrival to your office on July 5th to gather rent payments from the drop slot is a “best practice”.  Any rent payment you do not gather upon opening the office is to be considered delinquent and subject to a late fee.   Please make banking a priority on June 30th, July 3rd, AND on the morning of July 5th.

How to record your time in Kronos-

  • Your holiday hours are already recorded in your online time sheet. Unless you work on July 4th, you do NOT need to put in any hours for that day.
  • Record your alternate day off during the pay period as your holiday on your time sheet and email Diane (drunyan@cambridgeres.com) noting the day you took your holiday.

Who is eligible for holiday pay?

  • Employees who work 20 or more hours per week are eligible for holiday pay.
  • To receive holiday pay an employee must work both the scheduled day prior and after a holiday unless you have pre-approved paid time off (PTO) by your Manager/Supervisor.

A Few Words About Policy Enforcement

A well-managed rental community will have guidelines, policies and expectations.   These guidelines, policies and expectations are essential to fostering a harmonious living environment and a first class living environment.   Examples of guidelines, policies and practices might include:

  • When, where and how do residents pay rent
  • Where can residents place a satellite dish
  • How many vehicles are residents allowed to park on the property; where can vehicles be parked
  • What items are appropriate on porches, patios or balconies
  • How should resident households and their guests conduct themselves

From time to time it may be necessary to bring to the attention of a resident household that a greater degree of conformity with community standards is necessary in order to remain a ‘resident / household in good standing’.

To assist managers with communicating matters of non-compliance to residents, Cambridge has developed a series of letters which can be found on Tenant Technologies Electronic Forms program.  These letters seek to support and reinforce our community standards by providing managers with a consistent, professional means of communicating with residents when matters of non-compliance are noted.  If you haven’t already done so, please consider reviewing the letters on “Tenant Tech” to see the variety of letters available for use.

Generally:

  • Managers should use the template letters as found on Tenant Technologies Electronic Forms program; do not  create custom letters without your supervisor’s consent
  • When completing the template letters, refrain from inflammatory or hostile comments in those areas of the template letter that ask for a specific recap of the events occurring at your property
  • Serve notices with the intention of bringing about compliance; we are in the housing business not the eviction business.  If you find yourself ‘filling the file to support a future eviction’, it  is time to visit with your supervisor
  • Cambridge does not support an enforcement program which is focused entirely on non-compliance fees being assessed to residents; certain exceptions most certainly apply

Proudly, in the vast majority of cases the use of so-called violation letters will  be effective in bringing about greater levels of compliance with community standards.  If not , we must ( often reluctantly) seek to terminate a tenancy for failure to comply with community standards.

Actual termination letters should only be issued from the SERC (Site Employee Resource Center — also known as the Central Office) and are issued only after a manager provides a full duplicate copy of all prior violation letters along with a complete Request For Termination Form.  The Request for Termination Form is also found on Tenant Technologies Electronic Forms program.  Please take a moment and review that form.

When a Termination notice is requested from SERC, a multi-step review process is completed at the SERC before a notice is issued.  Commonly, the actual Termination Notice can take 1 to 5 days to be issued from SERC staff.

Aside from evictions related to a failure to pay rent, Cambridge generally evicts only a handful of households during any given year.  This is a very modest number of households considering a management portfolio of our size.  We offer this statistic to reinforce our firmly held belief that effective management of difficult situations can and most often does result in renewed compliance with community standards rather than an eviction.

The purpose of the addition of this form and/or form modification is:

C017 Garbage Collection Area form has been added as a Move-In Mandatory form. This form is similar to the Garbage Disposal or Satellite Dish rules. The form C017 should be included in all new move-ins, and can also be posted to existing residents to ensure that each resident is aware of the Garbage Collection Area Guidelines.

The below form will be effective until further notice.

Jury Duty & Bereavement Days Off

 

Cambridge offers days off for jury duty and bereavement. Below you can see the policies and how to put them on your time sheet. Attached is a step by step guide to properly add them to your time sheet.

Jury Duty:

Employees summoned for jury duty are granted a paid leave in order to serve if they give reasonable advance notice to their Manager and Human Resources. Full-time employees summoned for jury duty are paid their normal rate of pay for up to three days. Thereafter, the leave is unpaid. We reserve the right to request proof of jury service issued by the Court upon return. We expect you to return to your job if you are excused from jury duty during your regular working hours.

Bereavement Leave:

Full-time employees are eligible immediately upon hire for three paid days for the death of an immediate family member.

Holiday Reminder – Memorial Day

Monday, May 29th is Memorial Day and all offices, sites, and the support office will be closed in observance of the holiday.

The Site Employee Resource Center will be closed in observance of the Holiday. However, Supervisors will be available via Mobile Phones if an emergency occurs.  If you are unable to reach your immediate supervisor in the event of an emergency, please contact Jeff Passadore at 503.702.0535 as a back-up.

As a reminder, if an employee’s regularly scheduled day off is Monday, then another day during the same pay period should be taken as the holiday.  The holiday should be listed with the appropriate number of hours on the time record – do not enter start and stop times (unless you are required to work on the holiday).  The ‘holiday’ category will auto-populate in your time sheet on 5/29 in Kronos; unless you are taking another day as the holiday, please leave this as-is.

Entering your holiday time correctly in Kronos:

  • Make sure the word “Holiday” appears in the ‘Time Off’ column on your time card (this may auto-populate).
  • Click the magnifying glass next to this field to select ‘Holiday’ if does show up as an option.
  • Do not enter start and stop times on a holiday unless you actually work that day; only enter the total holiday hours in the ‘raw total’ section for that day. 
  • Entering a start and stop time indicates that you have worked that day, please avoid this unless you actually work on Memorial Day.

If circumstances require that an employee works on the holiday, please follow these steps:

  • Still enter your holiday hours as indicated above in the raw total section.
  • On the line underneath (for the same day) add your actual hours worked that day.
  • This will make sure that you are paid holiday hours plus your hours worked.

Holiday Pay Eligibility:

  • Employees who work 20 or more hours per week are eligible for holiday pay.
  • To receive holiday pay the employee must work both the scheduled day prior and after a holiday; except if prior vacation was approved on those days. Please refer to your Employee Handbook for the number of hours paid out as holiday pay; it is based on your Employment Understanding.
