HR Tip of the Week – How to Fill Out an I9

How to fill out an I9:

Step 1: Make sure the new hire brings their ID(s) according to Page 9 of the I9 on their first day of employment. Most frequently used IDs: Driver’s License (List B) and SS Card (List C) or Passport (List A)

Step 2: Have the employee fill out only section 1 on page 7 and sign. If a translator is preparing the I9 for an employee, have them fill out the bottom section on page 7 as well.

Step 2 must be completed on the employee’s first day of employment.

Step 3: As the manager, you need to fill out section 2 on page 8 with the IDs provided.  Fill out the information completely. Copy the IDs and keep with the I9.

Step 4: As the manager, you need to fill out the certification section on page 8 along with the employee’s first day of employment.

Step 3 and 4 must be completed no later than 3 business days after the employee’s first day of employment.

Step 5: Fax or email a copy (along with the IDs and W4) to Diane (drunyan@cambridgeres.com) so she can set the employee up in payroll.  Send the originals with all other new hire paperwork to SERC.

Information update for new Office Hour signs

As you may know, many of your Office Hours signs have seen better days and may not have up to date information on them.  In the coming weeks we will be ordering new Office Hour signs for your property.  In order to expedite this process we will need for you to respond to Greg Walker (gwalker@cambridgeres.com) at your earliest convenience with the following information:

 

  • Snap 1 photo of your current Office Hour Sign and attach it to your email.
  • Include your current office hours and after hours emergency numbers, if different from what is on your Office Hours sign currently.

HR Tip of the Week! Entering PTO in Kronos

If you are taking sick time, vacation, bereavement leave or time off for jury duty, you will need to enter that into Kronos.

Step 1: Choose the time off type. Select the type from the drop down menu (If you don’t see the specific type in the menu, click the page/magnifying glass icon to the right of the drop down menu). Also, Sick and Vacation time fall under PTO, which in Kronos is simply “Vacation.”

Step 2: Enter the total hours for that day that you are taking off under “Raw Total.” Do not enter time under the “From” and “To” columns!raw total

Cambridge Wellness Initiative

Any employee whose Employment Understanding (EU) is for 15 or more hours per week is eligible to participate. Please reach out to Human Resources to find out more about the following programs and how you can sign up for one or both.

1. Smoking Cessation
o If you quit smoking and are nicotine free for 30 days you can earn $300 wellness bonus on your paycheck. If you are nicotine free for 3 months (which includes your first 30 days) you can earn another $300 wellness bonus. After being nicotine free for 6 months you can be entered into a drawing of $1000 give away.
o If you choose to participate you will be subject to nicotine testing after 4 weeks, 12 weeks and 24 weeks of being nicotine free to be eligible for the bonus and the $1000 drawing.
o This offer is available to employees once every 12 months.
o Please keep in mind that an Electronic cigarettes or nicotine patches/gums do not make you nicotine free.
o Please notify your Wellness Committee if you are already in the process of quitting smoking.
o Your first 30 days begins the first day that you are nicotine free (without smoking cessation aids that contain nicotine, or smoking).
o The deadline to have your name entered into the drawing is December 31. The drawing for $1000 will take place at the employee symposium, held in January/February.

2. Weight Management
o Cambridge will cover full cost of your monthly membership/online subscriptions with Weight Watchers for one year.
o Please call/email Human Resources to find out about Weight Watchers meeting locations in your area and how to get half off discount when signing up. Please note that sign up can take up to 10 days to set up your account with Weight Watchers.
o PLEASE DO NOT SIGN UP ON WEIGHT WATCHERS YOURSELF, PLEASE GO THROUGH YOUR Human Resources.
o Please keep in mind that Cambridge will not be tracking your weight or how much weight you lose. Information collected from employees will be solely on voluntary basis.

2017 Manager and Maintenance Logs

We would like to take a moment to remind you about creating new Manager and Maintenance Logs for 2017.  I have included below images of what the logs should look like and the item number from Office Depot for easy ordering.  I have also included a .pdf attachment to this post with the instructions for each log book.

  1. Order New Log Books on http://www.officedepot.com/
  2. Print out the .pdf attached and cut page in half
  3. Tape instructions for the Manager’s Log inside the front cover –  do the same with the Maintenance Log
  4. Write your Property Name on the front cover in a permanent pen
  5. Write the dates that the log is kept for on the front cover in a permanent pen – example: 1/1/2017 – 12/31/2017
  6. Send in your 2016 logs (with your property name on the front cover) to the Site Employee Resource Center:
