To all eligible employees –

If you are interested in a PTO payout, please complete PTO Payout Request Form and fax it in by October 31, 2014.

A few things to remember:

  • Paid time off payout guidelines have changed.  Please read before completing your PTO Payout Forms
  • PTO Payout will be on your November 15th paycheck
  • Deadline for submitting your payout form is Friday, October 31st
  • Please fill out the form below if you would like a payout on your accrued PTO
  • Please share this information with your staff

July 4th Holiday

Friday July 4th is the Independence Day Holiday!  Except for a few special circumstances all offices (site and support office) will be closed in observance of the holiday.  Contact your property supervisor if you are unsure as to whether your office will be closed.

  • As a reminder, if an employee’s regularly scheduled day off is Friday, another day during the pay period should be taken as the holiday.
  • Your holiday hours are already loaded onto your Kronos time sheet.  Unless you work on July 4th, or take your holiday on another day, no time entry is needed for that day.
  • If you or your staff works on the July 4th holiday then record the hours worked on your time sheet, on the same day but on a separate line from the holiday.

Holiday Pay:

  • Employees who work 20 or more hours per week are eligible for holiday pay after their first 30 days of employment.
  • To receive holiday pay employees must work both the scheduled day prior and after a holiday; except if it was pre-approved time off.
  • If an employee was scheduled to work the day before or after and cannot work (except in an emergency situation) they will not receive holiday pay.

memorial dayMonday May 26th is Memorial Day Holiday! Except for a few special circumstances all offices, sites and support office will be closed in observance of the holiday. Contact your property supervisor if you are unsure as to whether your office will be closed.

  • As a reminder, if an employee’s regularly scheduled day off is Monday, another day during the pay period should be taken as the holiday.
  • Holiday hours are already plugged into your online time sheet. Unless you work on May 26th, you do not need to record any hours for that day.
  • If you or your staff works on May 26th please be sure to record any hours worked on your time sheet.

Spring Flags Arriving Soon!

The Spring Flag order is being shipped from Elmer’s Flags today, and should arrive within a week! We are very excited to be introducing a new design this Spring, similar to the new version introduced in the Fall. Please do not mis-match with the old flag versions. The new flags have magenta waves with orange and lime green polka dots. Please have your maintenance team switch your flags as soon as possible. Preventive Maintenance — Staff Units

Tool BeltPreventive maintenance is proven to reduce the cost and inconvenience of urgent and/or emergency maintenance service. Generally, nearly all sites are achieving the published standard of two preventive maintenance initiatives in each apartment per year.

With this bulletin we wish to clarify that ALL site employee apartments shall be part if this program. And to clarify further, to make sure site employees have received maintenance service in their apartment during the 2013 calendar year, please accept this email as a request to do one of the following:

  1. Invite a qualified site employee working at your site to inspect site employee occupied unit(s) this week; note that inspections of employee-occupied units by the actual occupant do not meet this requirement.
  2. Invite your regional maintenance employee to inspect one or more site employee-occupied apartments during their next site visit.
  3. Invite your supervisor to inspect one or more site employee-occupied units during their next site visit.

For all sites, a status report regarding inspections of all site employee-occupied apartments is a required part of the October 31, 2013 monthly manager report.

Reminder on Cell Phone Use, Time Keeping, and After-hours Calls

1. COMPLETE YOUR TIME SHEET DAILY. Cambridge strongly encourages that employees fill in their time on a daily basis to reflect your accurate hours worked.
2. Fill out the actual hours you work, Cambridge pays for all hours worked. Any work performed to benefit Cambridge should go on your time sheet.
3. OVERTIME SHOULD BE PRE-APPROVED BY YOUR MANAGER UNLESS IT IS AN EMERGENCY SITUATION; THEN IT MAY BE APPROVED AFTERWARDS.
4. An after-hours call is when employees leaves work for the day and is called back to take care of an emergency issue; or is called in on their day off.
5. TWO HOURS MINIMUM AT OVERTIME RATE IS PAID FOR AFTER-HOURS CALLS (emergency calls) only.
6. NOTE YOUR AFTER-HOURS CALL CLEARLY ON YOUR TIME SHEET, not documenting your after-hours call will not pay you correctly.
7. Follow state specific Lunch and rest breaks-

California At least 30 minutes lunch break for working 5 hours or more. 15 minutes paid break for every 4 hours worked.
Idaho At least 30 minutes lunch break for working 6 hours or more. 15 minutes paid break for every 4 hours worked.
Oregon At least 30 minutes lunch break for working 6 hours or more. 15 minutes paid break for every 4 hours worked.
Washington At least 30 minutes lunch break for working 6 hours or more. 15 minutes paid break for every 4 hours worked.

8. Do not use your personal cell phone for work use unless pre-authorized by your supervisor.
9. Please do not contact any employee with work related issue after their shift has ended for the day unless it is an emergency.
10. Does not text/call employee’s personal cell phone after hours to discuss work, if it is not urgent then it can wait until tomorrow.
11. Managers, please do not discuss work related matters via text messages with other managers or your supervisor. Please use company email to communicate. Remember, text messages serve as a poor record for business purposes, and most phone services delete texts after a certain period of time.
