The purpose of the Emergency Procedures Manual is to provide current information pertaining to the community regarding physical and resident items should an emergency situation arise.
Items of Importance
- All Cambridge Real Estate Services properties are required to maintain on site an Emergency Procedures Manual.
- All employees on site are to know the location of the Manual.
- The Emergency Procedures Manual will be kept in a red binder.
- The Emergency Procedures Manual must continue to be updated on a weekly basis or as information changes, such as move-ins and move-outs; changes in phone numbers, etc.
Emergency Procedures Manual Sections
Section 1 – MAPS
Items to include are:
⇒ Unit Number Location Map (Site Map)
⇒ Water shut-off valve locations-all buildings
⇒ Natural gas shut-off valve locations-all buildings
⇒ Main electrical circuit breaker locations
⇒ Fire extinguisher locations
⇒ Sprinkler system control location and zone map (if applicable)
⇒ Attic access locations
⇒ In-house fire alarm panel locations (specific to “interior” buildings)
Maintenance personnel should be able provide assistance with this section.
Section 2 – DIRECTIONS TO THE PROPERTY
Items to include are:
⇒ Directions to the property from the North
⇒ Directions to the property from the South
⇒ Directions to the property from the East
⇒ Directions to the property from the West
Section 3 – TELEPHONE LISTS
Items to include are:
⇒ Emergency contact number for Cambridge Real Estate Services
⇒ Community emergency numbers, such as local fire and police departments
⇒ Contact number for the property’s insurance company
⇒ Emergency number for security alarm monitoring company; required password/account number (if applicable)
⇒ Emergency number for elevator monitoring company; required password/account number (if applicable)
⇒ Emergency number for utility company
⇒ Maintenance Crew after hours number
⇒ Property staff telephone numbers
⇒ Current vendor list
⇒ Phone number for local chapter of the American Red Cross
⇒ Phone number for the local chapter of the Salvation Army
Section 4- PROPERTY FEATURES
Items to include are:
⇒ Current general property inventory list (eforms, Form C369)
⇒ Current maintenance inventory list (eforms, Form C370)
⇒ Current safety equipment inventory list (eforms, Form C371)
⇒ Fire extinguisher service log
⇒ Property replacement standards
⇒ Exterior work log
⇒ Elevator information (if applicable)
⇒ Security alarm information (if applicable)
Section 5 – UNIT FEATURES
Items to include are:
⇒ Unit floor plans with circuit breaker locations
⇒ Unit specifications (examples: pullcord alarm locations in units; location of smoke detectors)
Section 6 – PROPERTY KEYS
Items to include are:
⇒ Unit key code translation sheet
⇒ Vendor lockbox codes (if applicable)
