The Day of Move-Out

  • Refer to the capital improvement tracking log that should be located in each unit’s permanent maintenance file (for reference) on the turnover work that took place prior to this resident moving in.
  • Call the resident prior to their scheduled move-out date to confirm their move-out inspection appointment.
  • Always, always record the condition of the apartment on the Unit Condition Report.  The information on this report will assist you when completing the Move-Out Inspection Worksheet. The information must match!
  • If the resident is present for the inspection, have them sign the Unit Condition Report. Make sure to inform the resident that the assessment of charges is not guaranteed until the final walk-through has been completed.

→ If they are not present, note “resident not present”on the Resident Signature line.
→  The person inspecting the unit should always sign the report.

Completing the Move-Out Inspection Worksheet

  • Use original ink on the white copy! Original ink is important for audit control measures.
  • If you make a mistake –start over!
  • Yellow (cleaning vendor) and gold (painting contractor) sheets – Should be used to calculate how much your cleaner and painter should be charging. Also, attach the turnover prep sheets to each invoice you receive for painting and cleaning.
  • Pink sheet –file in the unit’s permanent maintenance file.
  • Actual move-out date reflects the date management received possession of the apartment. Typically, this is the date the resident turns in their keys.
  • You do not have to wait for vendor invoices to complete a Move-Out Inspection Worksheet.
  • Use the amounts listed on the turnover prep worksheet to assess move-out charges.
  • Always have available the costs for replacing vinyl, blinds, carpets, and interior doors for all floor plans as well as the cost to replace all appliances. Visit with your turnover vendors to get standardized costs for replacing.

Process the Statement Of Deposit Accounting (SODA)

  • The Move Out Inspection Worksheet must be completed prior to processing the SODA.
  • Each SODA must be on a separate journal.
