Incident Reporting

The purpose of incident reporting is to notify Cambridge Real Estate Services and the property’s insurance carrier if a guest or resident is injured at the property, or of any damage to the property or automobiles.

Examples of incidents on-site are: slips and falls, bodily injury, assault. Insurance claims may also involve property damage which is not owned by your community such as: a security gate hitting a vehicle. Examples of property damage would include fire, hail, lighting, flood, wind, etc.

All incidents should be reported to Cambridge Real Estate Services within 24 hours by completing the Incident Report Form which is found in the eforms program.

Reporting an incident

At the time an accident/incident occurs, the Site Manager must complete the Incident Report Form obtained from the eforms program in its entirety.  Other steps to follow:

  • Arrive at the accident scene promptly in order to obtain all the facts. Assume active control of the area involved. Document the conditions found at the scene as promptly as possible in writing and with photos (preferably digital).
  • Determine the existence of any witnesses and obtain complete identification of each witness.
  • If an accident involves a theft, assault, or other criminal action, notify the police.
  • If an injury to a third party occurs, make the person as comfortable as possible and always offer to call for medical assistance.
  • If property damage occurs, inform the third party to keep all receipts and estimates for the insurance claims adjuster.
  • Do not accept liability or agree to pay for any medical treatment or property damage.
  • Do not give a copy of your claim report to anyone other than your insurance claims representative or attorney.
  • Discuss the claim only with those persons who properly identify themselves as your claims representative, your attorney, fire or law enforcement officers.
  • Gather all information on a notepad that can be easily transferred to the incident report. Complete the Incident Report Form in in the privacy of your office. Be sure to note on the report any unusual circumstances that contributed to the incident (unsafe acts, alcoholic condition, age, weight, eyeglasses, etc).
  • Fax a copy of the Incident Report Form to your Supervisor.
  • Media Relations — before speaking to any member of the Media refer to your supervisor.
